Objectives

The primary objective of this tender is to appoint a qualified service provider to install, maintain, and remove Christmas decorations across nine airports operated by Airports Company South Africa (ACSA) for the 2026/2027 festive season. The aim is to create a festive ambiance with high-quality, safe, and visually striking decorations that enhance the passenger experience and promote a festive environment.

Scope

The scope of work includes:

• Installation of Christmas lighting and decorations at nine specified airports.
• Development of a Christmas campaign concept, including marketing collateral, call to action, and setup across all airports.
• Maintenance of decorations during the display period, ensuring operational safety and functionality.
• Removal and proper disposal of decorations post-display.
• Ensuring decorations are securely installed, compliant with health and safety standards, and do not obstruct airport operations.
• Developing a comprehensive closeout report, including ROI and ROMI analysis.

The project timeline, logistical considerations, permit requirements, and security vetting are also included within the scope.

Technical Requirements

• Use of non-hazardous, non-distracting cord covers for electrical wiring.
• Decorations must be securely installed and operational throughout the display period.
• Malfunctioning decorations must be repaired or replaced within three days of notification.
• Decorations should be clean, free of debris, and properly arranged to ensure safety and aesthetics.
• Develop and implement a Christmas campaign concept inclusive of all nine airports, with marketing collateral and call to action.
• Develop a detailed project schedule with timelines and risk mitigation strategies.
• Availability of 24/7 support during the display period for urgent requirements.
• Compliance with all health, safety, and security regulations, including permits for airside access and security restrictions.
• Coordinate work within specified time windows, e.g., work at O.R. Tambo International Airport only between 22h00 and 04h00.

Skills Requirements

• Proven experience in designing and executing large-scale festive or decorative installations, with a portfolio of at least two relevant projects.
• Ability to develop creative and innovative decoration concepts that align with the festive theme.
• Strong project management skills, including detailed scheduling, resource planning, and risk management.
• Technical expertise in electrical wiring, decoration installation, and maintenance.
• Knowledge of health and safety standards, including compliance with Occupational Health and Safety (OHS) regulations.
• Experience in developing marketing collateral and campaign concepts for large-scale public displays.
• Capacity to coordinate logistics across multiple airport sites, including obtaining necessary permits and security clearances.
• Ability to provide 24/7 support and respond promptly to urgent requirements during the display period.
