Objectives

The primary objective of this tender is to appoint a qualified service provider to deliver comprehensive Sage Pastel Accounting System services over a period of 36 months. The services aim to ensure optimal system performance, enhance reporting capabilities, provide dedicated support to the finance team, management, and auditors, and facilitate training, updates, support, data extraction, transfer, module management, and process documentation.

Scope

The scope includes:

• Provision of Sage Pastel modules (Partner/Xpress/Evolution) and support for modules such as General Ledger, Accounts Receivable, Accounts Payable, Inventory, Procurement, Fixed Assets, and others.
• Training for new and existing users, including refresher courses and process guides.
• Support and administrative services across multiple Gauteng offices (Johannesburg, Ekurhuleni, Sedibeng, West Rand, Tshwane).
• Data extraction, dashboard creation, KPI development, and strategic insights.
• Support duration of 36 months with specified deliverables for training, reporting, and support.

Technical Requirements

The technical requirements include:

• Proficiency in Sage Pastel Partner, Xpress, and Evolution modules.
• Experience with system troubleshooting, customization projects, and integration with other information systems.
• Valid accreditation as a Sage Authorized Business Partner or equivalent.
• Ability to support system updates, upgrades, workflows, and optimization recommendations.
• Support for multiple modules such as General Ledger, Accounts Receivable, Accounts Payable, Inventory, Procurement, Fixed Assets, and dashboards.
• Support for data export/import, mobile office, alert management, and inventory optimization.
• Support duration of at least 36 months, with a support team capable of assisting multiple users across various offices.

Skills Requirements

The skills required for the successful bidder include:

• Proficiency in Sage Pastel Partner, Xpress, and Evolution systems.
• Strong troubleshooting and customization skills.
• Experience in system training, documentation, and process improvement.
• Ability to provide strategic insights through dashboards, KPIs, and data analysis.
• Excellent support and administrative capabilities across multiple locations.
• Knowledge of integration with other systems and modules, data extraction, and reporting tools.
• Compliance with accreditation as a Sage Authorized Business Partner or equivalent.
