Objectives

The primary objective of this tender is to solicit quotations from qualified, registered, and experienced service providers to supply transfers and shuttle services for the African Data Science (ADSC) Conference scheduled from 23 to 27 June 2026. The services aim to facilitate the transportation of delegates arriving at and departing from OR Tambo International Airport, as well as providing shuttle services during the conference period, including transfers between hotels, the conference venue, and other event locations.

Scope

The scope of work includes:

• Providing arrival transfers for 100 delegates from OR Tambo International Airport to designated hotels in Rosebank, Parktown, Auckland Park, and WITS Science Stadium Campus on 23 June 2026.
• Offering shuttle services for 100 delegates between their hotels and the conference venue (Wits Science Stadium Campus) from 24 to 26 June 2026.
• Providing departure transfers for 100 delegates from their hotels to OR Tambo International Airport on 27 June 2026.
• Supplying necessary transport vehicles, including 2 x 60-seater buses with luggage capacity and trailers for trips on arrival and departure days.
• Ensuring provision of refreshments (bottled water) during transit.

Technical Requirements

The technical specifications for the services include:

• Provision of 2 x 60-seater buses with luggage capacity for arrival and departure days.
• Trailers capable of making three trips from OR Tambo International Airport to hotels on arrival day.
• Daily shuttle services (morning and late afternoon) between hotels and the conference venue from 24 to 26 June 2026.
• Transport arrangements for delegates on departure day, including buses and trailers.
• Distribution of bottled water (500 ml) to delegates during transit.
• Adherence to specified schedules, with arrival times and routes to be confirmed.
• All vehicles must have valid PDP licenses for drivers and valid road transportation permits.
• Transport providers must ensure safety, reliability, and compliance with relevant transportation regulations.

Skills and Qualification Requirements

Service providers must demonstrate:

• Registration and accreditation on the Central Supplier Database.
• Valid and current permits and licenses for all vehicles and drivers.
• Experience in providing shuttle and transfer services for large events or conferences.
• Ability to coordinate schedules and routes effectively to meet the conference timetable.
• Capacity to provide sufficient transport vehicles and personnel to handle the specified number of delegates and trips.
• Compliance with safety standards and transportation regulations.
• Provision of qualified drivers holding valid PDP licenses for vehicles carrying 12 or more passengers.
