Objectives

The primary objective of this tender is to appoint an experienced service provider to manage and support existing audio-visual, video production, and live streaming services during Freedom Park events. The service provider will be responsible for configuring, operating, maintaining, and ensuring the seamless functioning of the AV equipment, supporting event production, and providing support during events as needed over a period of 12 months. Additionally, the provider will facilitate content management, editing, and broadcasting across various digital platforms, including YouTube, Facebook, and the Freedom Park website.

Scope

The scope includes:

• Management and support of existing AV recording, streaming, and production systems at Freedom Park.
• Configuration, setup, and testing of AV equipment prior to events.
• Operational support during events, including live streaming, video recording, and production editing.
• Monitoring and maintenance of AV systems, addressing issues promptly.
• Quarterly meetings with Freedom Park’s departments to review performance and address feedback.
• Content management, including uploading, titling, and archiving event recordings.
• Provision of additional equipment or support as required for larger or changing events.

Technical Requirements

The technical specifications include:

• Management of existing AV equipment such as 4K PTZ cameras, tripods, professional displays, streaming media, control processors, digital sound systems, wireless microphones, cabling, and related accessories.
• Configuration and integration of equipment including HDMI, CAT5, XLR cabling, network routers, switches, and matrix switchers.
• Support for live streaming with dual streams, video recording, and content editing capabilities.
• Provision of necessary software and hardware to facilitate seamless operation and broadcasting.
• Adherence to the system connectivity and communication protocols as specified in the equipment setup documentation.

Skills Requirements

The successful bidder must demonstrate:

• Proven experience (minimum of 3-4 years) in managing and supporting AV systems, video production, and live streaming.
• Technical expertise in configuring and operating professional AV equipment, including cameras, sound systems, streaming hardware, and related software.
• Ability to troubleshoot and resolve technical issues promptly during live events.
• Experience in content editing, archiving, and digital broadcasting across multiple platforms.
• Qualified personnel with relevant certifications and detailed CVs, including AV technicians, videographers, and broadcast specialists.
• Good communication skills and ability to coordinate with event organizers and technical teams.
