Objectives

The primary objective of this tender is to supply, deliver, and install various marquee tents and a stage for the 2026 State of the Municipality Address. Specifically, the project aims to provide a 20m x 60m marquee tent, a 15m x 15m marquee tent, a 5m x 5m marquee tent, and a 10m x 5m stage, along with fire extinguishers and necessary signage, to facilitate the event scheduled for June 5, 2026.

Scope

The scope includes:

• Provision of three marquee tents of specified sizes (20m x 60m, 15m x 15m, 5m x 5m)
• Provision of a 10m x 6m aluminium stage with handrails, steps, and a disability ramp
• Supply and installation of fire extinguishers (7 in total, of various sizes)
• Inclusion of appropriate signage and certification by structural engineers
• On-site setup and infrastructure approval prior to the event
• Personnel availability during the event for infrastructure support

Technical Requirements

The technical specifications include:

• Marquee tents must be certified by a Structural Engineer and meet safety standards
• Stage must be constructed to specified dimensions with handrails, steps, and a disability ramp
• Fire extinguishers must be compliant with safety standards and strategically placed
• All structures must be installed at least one day before the event and approved on the event day by a certified engineer
• Personnel must be present during the event to address any infrastructure needs
• Adherence to the specifications outlined in the tender document, including signage and safety features

Skills Requirements

The successful bidder must demonstrate:

• Experience in supplying and installing large-scale marquee tents and stages
• Capability to provide structural certification and compliance with safety standards
• Proficiency in project management to ensure timely delivery and setup
• Availability of qualified personnel, including structural engineers and installation teams
• Ability to coordinate with Disaster Management Officers and municipal officials for infrastructure approval
• Knowledge of safety regulations related to temporary structures and event setups
