Objectives

The primary objective of this tender is to appoint a qualified service provider to establish and manage the registration setup for the University of Johannesburg (UJ) across three campuses (Auckland Park Bunting Road, Auckland Park Kingsway, and Doornfontein) for a period of three years (2026, 2027, and 2028). The provider will facilitate registration processes during peak periods, ensuring smooth operations, safety, and efficient handling of students and applicants.

Scope

The scope encompasses the planning, setup, and management of registration facilities at multiple campuses, including:

• Use of marquee tents (15m x 20m) and other structures to accommodate late enquiries and senior students.
• Installation of various infrastructure components such as trestle tables, wooden flooring, partition dividers, barrier fencing, and portable toilets.
• Setup of registration verification areas, biometric stations, student card printing stations, and security verification points.
• Deployment of support staff including student assistants, security personnel, and technical support for equipment.
• Ensuring compliance with technical specifications and safety standards across all campuses during specified setup and removal dates.

Technical Requirements

The technical specifications include:

• Provision of marquee tents with PVC cassette sides, including setup and strike dates for each year.
• Installation of trestle tables, raised wooden flooring, carpet tiles, partition dividers, and barrier fencing with specified dimensions and materials.
• Setup of portable toilets with on-site cleaning and restocking.
• Specific arrangements for registration areas, including partition dividers and fencing at designated campuses.
• Provision of security verification points, including fencing and verification stations as per layout plans.
• Ensuring stability and safety of all structures, with support for partition stability during queueing.

Skills and Experience Requirements

The tenderer must demonstrate:

• Related Work Experience (50 points): Submission of appointment letters, completion certificates, or reference letters for similar projects completed within the last 6 years. References must be contactable and include project values, with points awarded based on project size:
• Project R1,000,000.01 and above – 25 points
• R100,000.01 – R500,000.00 – 20 points
• R500,000.01 – R1,000,000.00 – 15 points
• Less than R100,000.00 – 0 points
• Resources and Company Profile (50 points): Submission of a company profile, including professional registration with relevant bodies (e.g., event or project management), and evidence of experience in event management.
