Objectives

The primary objective of this tender is to procure travel and accommodation services in Durban and Cape Town for Johannesburg City Parks and Zoo (JCPZ). The aim is to ensure efficient, cost-effective, and reliable travel arrangements that meet the organization’s operational needs, while adhering to applicable procurement policies and promoting ethical conduct.

Scope

The scope of the tender includes the provision of:

• Travel arrangements (flights, ground transportation) for specified personnel between Johannesburg, Durban, and Cape Town.
• Accommodation bookings at 3-star hotels including breakfast, near relevant event venues.
• Car rental services with driver coverage, including insurance waivers.
• Services for conferences and events, including water and security arrangements.

The services are to be provided for specific dates as detailed in the tender documentation, covering both Durban and Cape Town trips.

Technical Requirements

The technical requirements include:

• Completion of the Bill of Quantities (BOQ) / Specification.
• Appointment to the relevant panel of travel management services.
• Provision of valid certifications such as COIDA, joint venture agreements (if applicable), and compliance with regulatory standards.
• Adherence to COVID-19 restrictions, including submission of quotations in designated boxes at specified times.
• Submission of all required forms (e.g., MBD 1, MBD 3.1, MBD 4, MBD 6.1, MBD 8, MBD 9) completed and signed.
• Registration on the Central Supplier Database (CSD) and provision of vendor numbers.
• Compliance with evaluation criteria, including response timelines and submission procedures.

Skills and Competency Requirements

The bidder must demonstrate:

• Experience in managing corporate travel and accommodation arrangements.
• Ability to provide reliable, cost-effective, and compliant travel services.
• Knowledge of procurement policies, including Preferential Procurement Regulations and BBBEE requirements.
• Capacity to coordinate travel logistics efficiently, including flight bookings, hotel reservations, and car rentals.
• Compliance with health and safety standards, especially regarding COVID-19 protocols.
• Provision of valid certifications and documentation as proof of regulatory compliance.
• Ability to respond within specified timelines and adhere to submission procedures.
