Objectives

The primary objective of this tender is to source suitable venues in KwaZulu-Natal for the celebration of Women’s Month, specifically for the Women’s Day event scheduled for September 2025. The event aims to promote gender equality, empower women, and align with national themes such as "Accelerate Action" for Women’s Day. Additionally, the tender seeks to support SITA’s compliance with employment equity legislation, foster diversity, and provide a platform to raise awareness on gender issues within the organization.

Scope

The scope of the bid includes:

• Sourcing venues in KwaZulu-Natal that are accessible and centrally located across various districts.
• Providing venues capable of accommodating 90 women with appropriate facilities for massages, light breakfast, and light lunch.
• Ensuring venues meet specific setup requirements such as registration areas, massage zones, and catering spaces.
• Offering massage services, catering, and related logistical arrangements.
• Providing venue availability, pricing, and additional value-added offerings.
• Adhering to evaluation stages including administrative responsiveness, verification of contractual conditions, and price & preference point assessments.

Technical Requirements

The technical requirements include:

• Venues must have sufficient capacity and facilities for massages, catering, and registration.
• Venues should be easily accessible and located within the KwaZulu-Natal Province.
• Massages must be full-body, with arrangements for 90 women.
• Catering must include light breakfast and lunch options suitable for 90 women.
• Venues must support the required setup, including massage areas, registration, and catering zones.
• Availability of venues within the specified timeframe and their ability to meet all logistical and service specifications.

Skills Requirements

The skills and capabilities required from bidders include:

• Proven experience in sourcing and managing event venues and related services.
• Ability to coordinate logistics for massages, catering, and event setup.
• Knowledge of health and safety standards, especially for massage services.
• Capacity to provide detailed quotations, availability schedules, and value-added offerings.
• Compliance with legal, health, and safety regulations relevant to event hosting and massage services.
• Effective communication and coordination skills to liaise with SITA and venue providers.
• Demonstrated ability to meet deadlines and deliver within specified timeframes.
