Objectives

The primary objective of this tender is to select a service provider capable of implementing the Lilizela Tourism Awards Program. The provider will be responsible for delivering a comprehensive awards, sales, and sponsorship management solution that aligns with South African Tourism's mandate to promote sustainable tourism and support national tourism strategies.

Scope

The scope encompasses the full execution of the Lilizela Tourism Awards Program, including:

• Event management and coordination of the awards ceremony
• Sponsorship acquisition and management
• Sales and marketing activities related to the program
• Quality assurance of tourism sector services
• Delivery of related promotional and branding activities

The program targets various tourism industry stakeholders and aims to enhance the South African Tourism brand domestically and internationally.

Technical Requirements

The technical requirements include:

• Development and implementation of a comprehensive project plan with clear timeframes
• Provision of all necessary resources, procedures, and systems for effective program delivery
• Completion of all tender documentation and annexures in full, with detailed technical and financial proposals
• Preparation of a detailed cost breakdown covering a 3-year contract period
• Drafting and submission of a Service Level Agreement (SLA) with specific service standards
• Compliance with all applicable laws, regulations, and procurement policies
• Provision of proof of registration on the Centralised Supplier Database (CSD) and tax compliance
• Implementation of quality assurance measures and ongoing performance evaluation

Skills Requirements

The successful service provider must demonstrate:

• Proven experience in event management, sponsorship, and tourism-related programs
• Strong project management skills with the ability to deliver within specified timeframes
• Expertise in sales, marketing, and branding strategies
• Knowledge of South African tourism industry and sector-specific quality assurance processes
• Ability to develop and implement comprehensive program plans and reports
• Capacity to manage stakeholder relationships and sponsorship agreements effectively
• Compliance with legal, financial, and ethical standards, including anti-corruption and confidentiality requirements
• Technical proficiency in relevant systems and tools for program delivery and reporting
