Objectives

The primary objective of this tender is to appoint a service provider responsible for the collection and transportation of document storage boxes and containers from Johannesburg Water’s Document Warehouse to AGS Records Management. The service aims to ensure efficient handling, reconciliation, and safe transportation of documents, with provisions for replacement of damaged items during transit.

Scope

The scope includes:

• Collection of packaged document boxes and containers from the Document Warehouse at No. 5 Krag Street, Selby, Johannesburg.
• Reconciliation of quantities against provided index lists.
• Transportation of the items to AGS Records Management at 2 Aok Road, Chloorkoop Ext. 72, Ekurhuleni.
• Handling of large document boxes, standard document boxes, and storage tubes (GIS maps).
• Use of a single large-capacity vehicle for a once-off collection and transportation activity.
• Completion within an agreed timeframe, with replacement of damaged boxes at no cost to Johannesburg Water.

Technical Requirements

The technical requirements include:

• Items are already packaged; the service provider must reconcile quantities during collection.
• Use of a single large-capacity vehicle for the entire activity.
• Replacement of any damaged boxes during transportation at no additional cost.
• Completion of services within a specified timeframe, confirmed upon appointment.
• Provision of at least two reference letters demonstrating prior experience in document handling and records management logistics.

Skills and Experience Requirements

• Prior experience in document transportation and records management logistics.
• Ability to reconcile quantities accurately against provided lists.
• Capability to handle large volumes of document boxes and GIS storage tubes.
