Objectives

The primary objective of this tender is to procure 60 premium plug-and-play exhibition stands that are fully designed, constructed, branded, furnished, and ready for use. These stands will support the 7th Edition of the Eastern Cape Export Symposium and Exhibition scheduled for August 19-20, 2026, in KgGompo City. The event aims to promote export development, facilitate trade opportunities, enhance market access, and attract investment by providing high-quality exhibition infrastructure that elevates stakeholder participation and visibility.

Scope

The scope of work includes the end-to-end delivery of 60 premium exhibition stands, which must be fully designed, constructed, branded, furnished, and operational prior to the event. The service provider will be responsible for:

• Providing fully assembled and branded plug-and-play stands, excluding shell scheme structures.
• Designing a reception area and branding layout that aligns with event branding guidelines.
• Ensuring compliance with venue regulations and safety standards at the East London International Convention Centre.
• Delivering the stands along with associated branding, lighting, electrical, flooring, and furniture as specified.
• Managing logistics, installation, and dismantling of the stands.
• Providing technical support and ensuring the stands are ready for use by exhibitors.

Technical Requirements

The technical specifications for the stands include:

• Fully designed, constructed, branded, and furnished stands that are ready for immediate use.
• Inclusion of branding elements such as backwall graphics printed on fabric, logos, and signage.
• Provision of furniture including lockable counters with brochure holders, bar stools, display cabinets, and waste bins.
• Electrical power supply, lighting, and digital display screens as required.
• Flooring solutions such as carpeting to enhance presentation.
• Mounting options and modular components to facilitate easy setup and dismantling.
• Compliance with safety and venue regulations.

Skills Requirements

The successful bidder must demonstrate the following skills and experience:

• Proven experience in managing and delivering corporate exhibitions and trade shows of similar size and complexity.
• Experience in designing and constructing premium exhibition stands with branding and technical features.
• Strong project management skills, including planning, coordination, and timely delivery of event infrastructure.
• Technical expertise in exhibition stand design, fabrication, and installation.
• Capability to provide a dedicated core project team with at least three (3) years of relevant experience in event management, exhibition services, and technical support.
• Ability to coordinate logistics, safety, and compliance with venue standards.
• Effective communication and stakeholder engagement skills to ensure the stands meet client specifications and branding guidelines.
